Holding the Line on a Refund
Today's task: Tell her what you cannot give back, name the part you can, and put it in writing today.
The Setup
Where
A video call on Friday evening, your time. You are at home in Wuhan; she is in Toronto, early in the morning. A printed copy of your pricing page is in front of her, with the refund line circled.
Who
You build and run an AI note tool on your own. Olivia runs a two-person translation studio in Toronto and has been a paying user for eight months.
At stake
She is asking for the whole year back — ninety-six dollars — but your written policy gives fourteen days. Say yes to her, and those fourteen days stop meaning anything to everyone else.
Mood
Calm and prepared. She thanks you for the call and reads from the page she printed. Her voice stays even, and every sentence still points at the money.
Scene Hint
Dialogue

Olivia
Thanks for making the time today. I will keep it short. We used the tool for three weeks in the spring, and after that it turned out not to be a good fit for how our studio works. I would like to close the yearly plan and get the ninety-six dollars back.
-
You
Thanks for saying it that way. Let me pull up your account. You paid for the year on the twelfth of January, so the plan runs to January. Our policy gives fourteen days for a refund, and I have to be honest with you — this request is about seven months past that line.
-
Olivia
I read the policy. I printed it out and circled the fourteen days myself, so I know. We used it for three weeks and then we just stopped. I am asking anyway. Can you bend the rule for me, this once?
-
You
If I make an exception for a request this late, then the fourteen days on that page stop meaning anything — and that page is part of what you paid for. So the whole year, I cannot do. The four months you have not used, I can: that comes back to you, and I stop the renewal today.
-
Olivia
Four months. So ninety-six in, thirty-two back. I also wrote about your tool in my newsletter in February, and two hundred people read that. I am not going to write something ugly now. I just want this to be simple.
-
You
You do not owe me a good word, and I am not going to buy one. The money part stands where it stands: I cannot give back the eight months you had access to, but I can meet you halfway on the part that is left. Thirty-two is the honest number.
-
Olivia
All right. Then what happens to everything inside it? We have eight months of client notes in there, and a glossary I built by hand. If you send the thirty-two, do we lose all of that on the same day?
-
You
No. After the plan closes, the account stays open for thirty more days. You can go in and take everything out — every note as a file, and the glossary just as it is. You only cannot add anything new. And if the export gives you trouble, I will do it on my side and send you the file.
-
Olivia
Thirty days is enough. The glossary is the only thing I really need. So can we sort out the money today? I would rather not send three more emails about it.
-
You
Yes. Let me sort out the numbers for you: ninety-six dollars paid, thirty-two back for the four months, and the renewal is already turned off. I will put it in writing today, so you have the dates and the amount in one place.
-
Olivia
That works. I am still not happy about the eight months, but I understand the four. Send it today and I will not ask again. And if we ever come back, I will come back as a monthly user.
-
You
One more thing, and then I will stop. The tool was not a good fit for you, and that is a real reason — you do not need to find a better one. The door is open. If you come back, write to me first and I will set you up myself.
make an exception /meɪk ən ɪkˈsepʃən/
常用搭配:make an exception for someone / this time。 更口语的近亲是 bend the rule(把规则掰弯一点)——对方用 bend,你用 make an exception,说的是同一件事的两种说法。
The last ferry leaves at six, and they will not make an exception for one passenger."(末班渡轮六点开,他们不会为某一个乘客破例。)
meet you halfway /miːt juː ˌhæfˈweɪ/
句式是 meet someone halfway on something:on the price / on the dates。 I will meet you halfway;想说双方一起定,用 let us meet halfway。
You want Friday and I need it by Wednesday, so let us meet halfway: Thursday morning."(你要周五,我最晚要周三,那就各让一步——周四上午。)
put it in writing /ˌpʊt ɪt ɪn ˈraɪtɪŋ/
Let me put it in writing today / I would like that in writing. 前面别加 the——in the writing 会变成"在这篇文章里"。
The landlord said he would fix the heater, so I asked him to put it in writing."(房东说会修暖气,我就请他写下来。)
a good fit 复习 /ə ɡʊd ˈfɪt/
I am sorry I was not a good fit,那会把责任揽成你的错。
前面是 a,后面常接 for:not a good fit for the way we work。 It is not a good fit。
That sofa is beautiful, but it is not a good fit for a room this small."(那张沙发很好看,但摆在这么小的房间里不合适。)
sort out 复习 /ˈsɔrt aʊt/
Let me sort out the numbers for you
常用形态:sort out the details / sort it out / get it sorted。
Send me both addresses and I will sort out the delivery times today."(把两个地址都发我,我今天把送货时间安排出来。)
My Turn
Situation: Same call, same person, one thing is different. Now she does not want the money back. She wants you to move the four unused months to a new account for her colleague Ana, who will use them until the plan ends in January.
They say: "Keep the refund. Just move the four months over to Ana's account and she can use them."
Your turn: Say what you cannot do, then give her one clean option and one next step.
